Telegram Welcome Bot: One Lead, Two Touchpoints

By Mario Antonini·

When someone joins your Telegram channel from a campaign, most people treat it as a single touchpoint: they’re in the channel, done. But if the channel requires approval to join, the join request opens a second door most channel owners never use: a Telegram welcome bot can reach that same person in a private chat. One lead, two touchpoints — for the same acquisition cost.

What changes technically

By default, a Telegram bot can’t start a conversation with someone who has never sent it /start — it’s Telegram’s own anti-spam protection. The exception is the join request: when a channel (or group) requires approval for new members, the request itself gives the admin bot temporary permission to send that first private message, even without a prior /start (Telegram documents this in the Bot API’s ChatJoinRequest). That’s the mechanism that takes the welcome message out of the channel, where it competes with the rest of the feed, and puts it straight into the person’s private inbox.

Without join approval turned on, that door simply doesn’t exist on Telegram’s side — the bot is limited to posting in the channel itself. And in Track4you, join requests only work with a private channel.

Why a Telegram welcome bot gives you two touchpoints instead of one

A channel is one-to-many broadcasting: the message lands in the feed, competes for attention with everything else, and a distracted reader can scroll right past it. A private message is different — it arrives as an individual notification, competing with nothing, and tends to get read with far more attention than a channel post.

Combining both means the same join creates two chances to reinforce value, point to specific content or start an offer flow: once publicly (context, social proof, the channel’s routine) and once privately and personally. Neither replaces the other; they cover different angles of the same lead.

What to do with the private touchpoint

The private chat opens room for things that don’t make sense to post to the whole channel: an automated message sequence right after the join, a targeted offer, or simply confirming the person landed in the right place and pointing them to the content most relevant to them. You can also avoid the generic message: if you split paths into different funnels (launch vs. organic, for example — the guide to paid traffic for a Telegram channel covers that structure), each funnel can have its own welcome message, with the tone and offer of the source that brought the person, instead of the same message for everyone.

The private touchpoint survives the channel leave

A lead can leave the channel — out of disinterest, by mistake, or just passing through — without closing the private chat with the bot. The channel is all-or-nothing (the person is either in or out), but the private chat stays reachable after the leave, which gives you a second re-engagement chance that simply doesn’t exist if the channel is your only touchpoint. A short exit message with the person’s name, a reason to come back and a button linking to your page sends the return through the funnel again — so it stays tracked.

Common setup mistakes

  • Channel without join approval turned on: without it, the request never happens and the bot never gets permission to send the first private message. It’s the technical prerequisite, not an option.
  • A private message identical to the channel one: wastes the most personal touchpoint repeating what the person will already see in the public feed.
  • Using only one of the two touchpoints: keeping only the channel message (you lose the attention of the private chat) or only the private one (you lose the channel’s context and social proof) leaves value on the table on both sides.
  • The same welcome message for every path: people who arrive from a launch and people who arrive organically expect different things. With one funnel per path, each gets the message that matches what brought them.
  • Using the same bot for everything: Track4you’s tracking bot is exclusive to Track4you; the private chat comes from a second bot, the messaging bot.

How Track4you helps with this flow

In Track4you, both touchpoints come from the automated messages, included on every plan. The setup:

  1. A private channel, connected to Track4you through the tracking bot.
  2. A funnel with join requests turned on (“Ativar Solicitação de Entrada” in the app, which is in Portuguese). The funnel’s entry link stays the same, with nothing to change on the page: whoever taps the button requests to join instead of joining directly.
  3. A messaging bot: a second bot created in @BotFather, different from the tracking bot, also a channel admin and connected in the Messages menu. Unlike the tracking bot, which is exclusive to Track4you, it can be used at the same time in flow-builder tools such as Flow4You.
  4. The welcome (“Entrada”) message: it reaches the private chat the moment the lead requests to join, with up to 5 blocks (text, image, video, audio, round video note and delay), link buttons and the lead’s name ({first_name}).
  5. Auto-accept: approves requests on its own, instantly or after a wait. With a short wait (30 seconds to 1 minute), the lead reads the welcome message and the rules before landing in the channel.
  6. The exit (“Saída”) message, for whoever leaves the channel; and, if you want different messages per path, per-funnel custom rules.

On the channel side, recurring and one-time posts schedule your content. And none of this touches tracking: the real join (the enter_channel event, sent via CAPI) keeps reaching Meta tied to that lead’s source. The complete guide to tracking Telegram conversions explains how that join capture works end to end.

Terms like CAPI are explained in detail in the guides linked above; quick definitions are in the glossary.

Conclusion

Running traffic to the channel and letting the join request open a private chat with the bot doesn’t cost a cent more in media — it’s setup, not budget. The result is the same lead reached through two different touchpoints instead of one: the channel reinforces context and social proof for everyone, the private chat lets you be direct and personal with each individual. Ignoring that second touchpoint leaves half the possible reach of every join on the table.

Frequently asked questions

Do I need to turn on any setting in the channel for this to work?

Yes. The channel has to be private and joins have to go through approval (join requests). The join request is what gives the bot Telegram's permission to start a private chat with someone who has never sent it /start — without it, Telegram won't let the bot send the first message. In Track4you, that's the join request option in the funnel (only available for private channels), and the funnel's entry link stays the same.

Does this work in groups too, or only in channels?

Both, as long as join approval is on — Telegram uses the same mechanism for channels and groups.

Does the private message replace the welcome message in the channel?

You don't have to choose. You can keep both: one in the channel (public context, sets the content routine for everyone) and one in the private chat (more direct and personal, not competing with the channel feed) — the same join feeding two different touchpoints.

What if the lead leaves the channel after a while?

The private chat with the bot stays open even after they leave the channel. It's a second contact point that survives churn on the first one, and it's worth a re-engagement attempt before you write that lead off. In Track4you, the exit message reaches the private chat of anyone who leaves, even days later, as long as they haven't blocked the messaging bot.
